We’ll cover everything from essential documents to bring, to the key questions you should ask, ensuring you’re ready to take this exciting first step with confidence.

Preparing for Your First Meeting

The success of your first architectural consultation often depends on your preparation. Before the meeting, gather key documents including your property’s certificate of title, any existing plans, and council planning overlays. Having these ready helps your architect understand your property’s constraints and opportunities from the outset. Most Melbourne architects will request these materials beforehand, allowing them to research your property’s specific requirements.

Your ideas and inspiration are equally important as technical documents. Consider creating a collection of images that represent your style preferences and spatial needs. This could include photos from architecture magazines, online platforms, or even pictures of features you’ve noticed in other homes. Being clear about your lifestyle requirements helps architects understand how you want to use the space.

Budget discussions form a crucial part of this first meeting. While exact costs can’t be determined immediately, having a realistic budget range in mind helps guide the conversation toward achievable solutions. Be prepared to discuss your investment comfort zone openly, as this helps architects suggest appropriate approaches and materials.

  • Collect property documents including title and existing plans
  • Create an inspiration folder with images and ideas
  • Prepare a realistic budget range
  • List your primary goals and non-negotiables

Understanding the Consultation Process

The first consultation typically begins with a thorough discussion of your vision and requirements. Your architect will ask detailed questions about your lifestyle, family needs, and how you plan to use different spaces. This conversation helps establish the foundation for potential design solutions and ensures all critical factors are considered from the start.

During the site visit portion of the consultation, your architect will assess various aspects of your property. They’ll consider factors like natural light, orientation, existing structures, and potential challenges or opportunities. This physical inspection is crucial for understanding what’s possible within your space and identifying any immediate concerns that might affect the project.

Your architect will also explain relevant planning controls and building regulations that might impact your project. In Melbourne’s diverse suburbs, these can vary significantly, from heritage overlays in areas like Carlton to flood zones in bayside locations. Understanding these constraints early helps set realistic expectations for what can be achieved.

The consultation usually concludes with preliminary sketches or concepts to help visualise possibilities. This initial creative response helps you understand how your architect thinks and approaches problem-solving. It’s also an opportunity to see if their design philosophy aligns with your vision.

  • Take notes during the discussion
  • Ask questions about planning restrictions
  • Request clarification on any terms or concepts you don’t understand
  • Consider how well you connect with the architect’s approach

Next Steps and Expectations

After your first consultation, you should have a clear understanding of the path forward. Your architect will typically provide a written summary of the discussion, including initial recommendations and potential approaches to your project. This document serves as a valuable reference point for future planning and helps ensure everyone is aligned on the project’s direction.

Timeline expectations are another crucial outcome of this meeting. Your architect should outline the various project stages, from concept design through to construction documentation. Understanding this sequence helps you plan effectively and makes the process less daunting. Most Melbourne residential projects require several months of planning and design before construction can begin.

The consultation should also clarify the architect’s fee structure and service options. Different practices offer varying levels of involvement, from basic design services to full project management. Understanding these options helps you choose the level of support that best suits your needs and budget.

  • Review the consultation summary carefully
  • Consider the proposed timeline and how it fits your plans
  • Evaluate the suggested scope of services
  • Schedule any follow-up discussions or site visits

I highly recommmend the team at BY Architecture.

Barbara, Howard and the team designed a wonderful extension to my late 1960s Melbourne home, ran the tender process to find me a builder, and superintended the build contract.

The design process that Barbara took me through was comprehensive, well-considered and highly collaborative, and the resulting extension and renovation was incredibly well-tailored to my specific needs and desires.

The tender process was similarly well-run, and we ended up choosing a builder that Barbara had worked with many times before and recommended. The recommendation was a great one and the entire build ran very smoothly, with the many quirks arising in a typical renovation being dealt with intelligently and with no fuss.

During the entire time I worked with them, Barbara and her team went over-and-above to keep me happy. As a result of their attention to detail and their focus on customer service, they ensured that what can often be a stressful time was actually a pleasure. I cannot thank them enough and would work with them again in a heartbeat.

Barbara and the BY Projects team were fantastic to work with for our knockdown-rebuild. We had no idea what we were doing or getting ourselves in for, and through every stage of the process Barbara explained everything and was supportive and transparent.
She drew plans for a beautiful house for us which fulfilled everything we wanted while adding such flair and style that we never could have imagined ourselves.
I was so glad to have her and her team on my side throughout the build process, as we would have struggled to advocate for ourselves (or even notice) mistakes or defects by the builder.
Overall, we just couldn’t be happier with the final result.

We were in a very difficult position after a VCAT rejection. Barbara came into our project and reimagined what was possible with our property. Going from a house with three shops with significantly reduced value to a development with two town houses, a cafe and all able to be subdivided into three separate properties. Barbara was positive, enthusiastic, charming at planning meeting and all in all kept us positive and hopeful. Barbara went through the whole process with us and I would say went above and beyond what would generally be expected. She worked well with our development team, working out strategies for planning challenges. We are very thankful for her time and energy.

We engaged Barbara and her team many times over many years for our Building Development Projects, including Multi Residential, Child Care and Mixed Use. Most recently for a couple of houses in Port Melbourne with complex Heritage Overlay requirements.

Barbara worked with us closely to ensure all design requirements were achieved to exceed market expectations. All permit requirements were managed in a professional and timely manner, and all processes were met on time and on budget.

The finished buildings were outstanding and the realized sales well above market expectations.

We highly recommend BY Projects Architecture for their Design sense and construction experience.

I have worked with Barbara and the team at BY Projects on a number of projects now. Its hard to think how you could get better value for money. They are great architects - that goes without saying. But its the extra mile they go to on your behalf in order to secure the very best for you that makes all the difference. I wouldn't hesitate to recommend them for your next project.
